General Information
The Office of the University Registrar can assist with completing notarizations on the following documents:
- Transcripts
- Diplomas
Along with the notarizations, we can assist with mailing your documents to the Missouri Secretary of State for an apostille. The apostille is a specific form of authentication that is prepared pursuant to an international treaty known as “The Hague Convention Abolishing the Requirements of Legalization for Foreign Public Documents.” The convention eliminates the need for authentication above the level of the Secretary of State and is only accepted by countries that have signed the treaty.
An apostille may be completed on any of the previously listed documents.
To request one of the previously listed documents notarized, you must either order a paper copy of one of the documents, or you can mail us your original. Please use the address below to mail us your document(s) and include specific instructions. We recommend you contact us prior to sending your documents.

If you need to order a transcript or diploma for notarization, please refer to one of the following links to order the document.
- Transcript- To order a copy of your transcript please visit the following page here . When ordering your transcript, be sure to select ‘Hold for Pick-Up’ as the delivery method. This way we can print the transcript in our office and apply the notarization.
- Please notify us through our General Inquiry form after you submit your order so that we can take the appropriate steps and provide additional instructions.
- Diploma- Click the link here to order a copy of your diploma. Make sure you select “Print” for a printed copy. We place orders with our vendor monthly. The cost is $60. It will take several weeks for the diploma to be processed and returned to our office.
When placing your order please list our mailing address, noted above, so that the diploma is mailed to our office from our vendor.
After submitting your order, please contact us so we can document the notarization request and provide additional instructions.
To have your notarized documents apostilled, you must have them notarized first. Please refer to the “Requesting Notarization” section above to begin the process.
Once your document has been notarized, you are able to either have your document mailed back to you, or you can request to have it sent directly to the Missouri Secretary of State (SOS) for the apostille. To have your documents mailed to the SOS by our office, please refer to the information below.
For our office to mail your notarized document(s) to the SOS, you must complete the following forms below, required by the SOS:
- Complete the SOS required cover letter form available here, and return it to us so that we can include it with your documents to be mailed.
- Complete the SOS Credit Card payment form available here, if desired. However, please do NOT return the form to us. You will need to work with the SOS directly to make payment arrangements. They can be reached at (866) 223-6535 or commissions@sos.mo.gov .
- Purchase prepaid shipping for the documents to be mailed from the SOS to you if they are being mailed outside the U.S. The shipping label should list the Secretary of State’s Office as the sender and the address where you want to receive your apostilled document. You may create & pay for a label from the website of the courier of your choice: DHL, FedEx, UPS, or the United States Postal Service.
- (You cannot use the option on the Mizzou website since it is used only for our office to send documents to an international address.)
- Print the prepaid label you order as a PDF file so you have an electronic file that you can email to us. We will print your return shipping label and mail it with your documents to the SOS office.
Once the document has been notarized and sent to the Secretary of State’s Office, the Office of the University Registrar has no control of nor responsibility for the item. It is the responsibility of the students to ensure that their package to Jefferson City contains all the required items.
